This Privacy Policy explains how Aptiva Health, LLC (“Aptiva,” “we,” “us,” or “our”) collects, uses, and shares information through the Aptiva Learning Hub at learn.aptivahealth.com (the “Site”). The Site is the free, educational companion to Aptiva Health. By using the Site you agree to this Policy and to our Terms of Use.
This Policy applies only to information collected through the Site. It does not apply to information you provide to Aptiva Health in a clinical or patient-care setting (for example, scheduling an appointment or receiving treatment), which is governed by the Aptiva Health Notice of Privacy Practices at aptivahealth.com.
The Site is offered to users who are 18 years of age or older. We do not knowingly collect information from anyone under 18 and will delete such information if we become aware of it.
No Protected Health Information; Outside HIPAA Scope
The Aptiva Learning Hub is an educational resource. It is not a patient portal, and it is not intended to collect protected health information (“PHI”). Please do not submit any personal health, medical, or identifying details through our forms, the community, or the “Ask Aptiva” assistant. Keeping the Site free of PHI helps it remain outside the scope of HIPAA. If you share such information anyway, you do so at your own risk, and we may remove it. For matters involving your care or medical records, contact Aptiva Health directly.
Information We Collect
We aim to collect as little information as possible, and only categorical, non-health information:
- Information you give us. Your email address when you subscribe to our newsletter or submit a form, and limited categorical details that help us route educational content — such as which audience you identify with (patient, provider, or partner), your topic of interest, your state, and (for business inquiries) your organization name. We ask that you never include health details.
- Automatically collected usage information. Standard technical information such as your IP address (anonymized for analytics), browser and device type, pages viewed, and referring links, collected through cookies and similar technologies as described below.
- “Ask Aptiva” questions. Questions you submit to the assistant, logged on an anonymous basis to identify gaps in our educational content. Do not include personal or health details.
We do not collect Social Security numbers, payment-card numbers, insurance ID numbers, or clinical records through the Site.
Cookies, Analytics, and Consent
When you first visit, we present a consent banner and load non-essential technologies only after you accept:
- Analytics. We use privacy-preserving website analytics with IP anonymization to understand which content is useful. Analytics do not load before you consent.
- “Ask Aptiva” assistant. Our chat assistant (powered by a third-party messenger) loads only after you consent and is designed to be anonymous; no advertising trackers are used.
- Essential cookies needed to operate the Site and remember your consent choice may be set without consent.
You can decline non-essential technologies through the banner and manage cookies in your browser. We do not use the Site for behavioral advertising.
How We Use Information
We use the information we collect to:
- Operate, maintain, and improve the Site and its educational content;
- Send the newsletter and other educational updates you request, and respond to your inquiries;
- Route business and partnership inquiries to the right team;
- Understand, on an aggregate basis, which topics are most useful (content-gap analysis);
- Detect and prevent fraud, abuse, and security issues; and
- Comply with law and enforce our Terms of Use.
We do not sell your personal information.
How We Share Information
We share information only as needed to run the Site:
- Service providers (processors). Opt-in newsletter and inquiry details (email plus the categorical metadata above) are synced to our customer-relationship platform (HubSpot) so our team can respond and send the updates you requested. We also use providers for website hosting, analytics, and the chat assistant. These providers process information on our behalf and are not permitted to use it for their own purposes.
- Affiliates and successors. With Aptiva Health and its affiliates, and in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
- Legal. When required by law or legal process, or to protect the rights, safety, and security of Aptiva, our users, or the public.
Email and Communications
If you subscribe, we will send you educational emails. You can unsubscribe at any time using the link in any message or by contacting us. We communicate with Site users by email; we do not collect mobile numbers for SMS through the Site.
Data Retention
We retain information for as long as needed to provide the Site and the communications you request, and as required for legitimate business or legal purposes, after which we delete or de-identify it.
Your Choices and Rights
You may unsubscribe from emails, decline non-essential cookies, and request that we access, correct, or delete the limited information we hold about you by contacting us at the address below. We will respond consistent with applicable law.
Links to Other Websites
The Site links to other websites, including Aptiva Health (aptivahealth.com) and third-party resources. We are not responsible for the privacy practices or content of websites we do not operate; please review their policies.
Data Security
We implement reasonable technical, administrative, and physical safeguards designed to protect the limited information we collect. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
Changes to This Policy
We may update this Policy from time to time. We will post the updated Policy on the Site and revise the dates above. Your continued use of the Site after changes take effect constitutes acceptance of the revised Policy.
